Glossary

Definitions of key terms used in the ClubVIP platform.

A

Audit Log A permanent, append-only record of all significant actions in the system. Includes who performed the action, what was changed, when it occurred, and why (if applicable). Cannot be modified or deleted.

ACTIVE (Card Status) A card that is currently valid and can be used for entry, redemption, and receiving offers.

B

Bar Redemption The process of validating a customer's ticket at the bar and applying their VIP discount to their tab.

Barcode The scannable code displayed on a wallet pass, used for quick entry at the door. Typically a QR code format.

Business Date The date used for operational purposes, which may differ from the calendar date. Determined by a configurable cutoff time (typically 6am). Example: An entry at 2am may belong to the previous business date if the cutoff is 6am.

C

Card Category A classification of card types, such as "VIP Members" or "Service Industry". Each category can have multiple tiers.

Card Instance A specific VIP card issued to a customer. A customer can only have one active card per tenant.

Card Level (Tier) A rank within a card category (e.g., Silver, Gold, Platinum), each with different benefits and discounts.

CLV (Customer Lifetime Value) The total net revenue expected from a customer over their entire relationship with your venue, calculated as: (Average Spend × Visit Frequency × Lifespan) - Total Discounts.

Cover Charge An entry fee charged at the door. VIP cardholders may receive discounted or free cover as part of their perks.

Credential Code See Card Code.

Card Code The unique alphanumeric identifier assigned to each VIP card, displayed below the barcode on wallet passes. Can be manually entered if scanning fails.

D

Discount Rate The percentage of revenue given back to customers as discounts. Calculated as: Total Discounts / Gross Revenue × 100.

Door Scanning The process of validating a customer's VIP card at venue entry to grant access and issue a ticket.

E

Enrollment The process of signing up a new customer for a VIP card. Can be done via QR code scan or manual entry by staff.

EXPIRED_INACTIVITY (Card Status) A card that has been automatically expired due to no visits for 6+ months. Customer must re-enroll to receive a new card.

F

First-Time Visitor A customer visiting a venue for the first time. Useful for tracking new customer acquisition.

Fraud Alert A system-generated warning indicating suspicious activity, such as repeated invalid scan attempts or impossible redemption patterns.

G

Global Offer An offer available to all VIP customers, regardless of tier or location (unless location-specific).

Google Pay Google's digital wallet service for Android devices. ClubVIP issues wallet passes compatible with Google Pay.

I

Inactivity Expiration Automatic card expiration after 6 months of no visits. Prevents inactive cards from accumulating in the system.

L

Location A specific physical venue within a tenant's organization (e.g., "Main Club", "Rooftop Lounge").

Location-Scoped Data or permissions that are limited to specific locations. LOCATION_ADMIN users see location-scoped data only.

Location Admin A user role with management access to specific assigned locations but not the entire organization.

M

Manager Override The ability for managers to manually adjust discounts or approve exceptions. All overrides are logged with a required reason.

Multi-Tenancy The platform architecture that allows multiple independent organizations (tenants) to use the same system while keeping their data completely separate.

N

Night Session A record of a customer's visit to a location on a specific business date. Used to track visits and prevent duplicate ticket issuance.

O

Offer A time-limited promotion sent to VIP customers, such as "50% off drinks tonight 9-11pm". Delivered via push notification to wallet passes.

P

Perk An ongoing benefit associated with a card tier, such as a discount percentage or free cover charge.

Perk Rule A configuration that defines which perks apply to which card tiers at which locations.

PLATFORM_ADMIN The highest-level user role, with access to all tenants and system-wide settings. Typically used by ClubVIP platform staff.

PROMO (Role) A user role limited to enrolling new customers and issuing VIP cards.

Push Notification An alert sent to a customer's mobile device when a new offer is published or their wallet pass is updated.

R

Redemption The act of using a ticket at the bar to receive a VIP discount on drinks.

Redemption Rate The percentage of issued tickets that are actually redeemed at the bar.

Return Visitor A customer who has previously visited and is coming back. Higher return visitor rates indicate strong loyalty.

REVOKED (Card Status) A permanently canceled card, typically due to fraud or a banned customer. Cannot be reactivated.

ROI (Return on Investment) A metric calculated as: (Net Revenue - Program Costs) / Program Costs × 100. Used to measure VIP program profitability.

Role A user's permission level in the system (e.g., TENANT_ADMIN, LOCATION_ADMIN, PROMO).

S

Slug A URL-friendly identifier using only lowercase letters, numbers, and hyphens (e.g., "gold-vip"). Required when creating card categories and levels.

SUSPENDED (Card Status) A temporarily disabled card, usually due to payment issues or rule violations. Can be reactivated.

T

Targeted Offer An offer sent only to specific customer segments, such as a particular card tier.

Tenant The top-level organizational entity, representing a single club operator or organization. All data is scoped to tenants.

TENANT_ADMIN A user role with full administrative access to all locations within a single tenant.

Ticket A physical or digital token issued when a customer enters a venue, used to redeem VIP discounts at the bar. Valid only for the issuing location and business date.

Ticket Token The unique code printed on a ticket, used to validate redemption.

Tier See Card Level.

V

Validity Period The date and time range during which an offer is active and can be redeemed.

Visit A single entry by a customer to a location on a specific business date. Multiple scans on the same business date count as one visit (re-entries).

Visit Frequency The average number of visits per customer over a given time period. Key metric for engagement.

W

Wallet Pass The digital card stored in Apple Wallet or Google Pay, containing customer information, barcode, and VIP benefits.

Wallet Provider The backend service (Apple Wallet API or Google Pay API) that manages digital wallet passes.
